How club plans, billing periods, upgrades, downgrades and seats work.

Subscription Policy

1. The club is what subscribes

Under the current model the club is the billing entity. The Club Owner buys a plan for the club; individual coaches and members do not hold their own subscriptions.

2. Plans and caps

Each plan sets a maximum number of member accounts and a maximum number of coach accounts (the Club Owner counts as one). Extra coach seats can be bought separately, per seat per month.

Current plans, caps and prices are shown in the app under Subscription. They are inclusive of GST.

3. Free first month

A new club starts on a free first month at the entry tier's limits, so the Owner can set up and add people straight away. When it ends, the Owner chooses a paid plan.

4. Billing periods

Plans can be bought for 1, 3, 6 or 12 months. Where a duration discount applies it is shown before payment.

5. Upgrades

Upgrading takes effect immediately. You pay the new plan's price less a credit for the unused part of your current period, so you are not charged twice for the same days.

6. Downgrades and seat reductions

Downgrades and seat reductions take effect at the end of the current billing period, not immediately — you keep what you have already paid for. There is no cash refund for the remainder of the period. Where a mid-cycle downgrade credit applies, it is issued as FitPoints and is calculated net of GST already remitted and payment-gateway fees already incurred, so it is less than the raw price difference.

7. Automatic renewal

If you set up automatic payment, we charge the amount due for the next period when the current one ends. You can see the next amount and date in the app.

8. Failed payments

If an automatic charge fails, your club keeps full access for a short grace period and the Owner is notified to pay the outstanding amount manually. After the grace period the club becomes read-only: existing data stays visible, but new records cannot be created until payment succeeds.

9. Cancelling

You can stop renewing at any time. Access continues to the end of the period you have paid for. See the Refund & Cancellation Policy.

10. Price changes

We may change plan prices. A change never re-prices an invoice already raised — each payment is billed against the plan configuration in force at the time.
